Count rows in Excel tutorial

This is a guide on how to count rows or columns in Excel 2010 and 2007. There are a couple of easy ways to count the rows or columns:

Count function

COUNT function returns the number of cells that contain a number in an area you define. This means you can use the function if the cells you need to count contain numbers. Here's how to use it.

1. Click on the fx button under the ribbon.

2. Search for the COUNT function and select the function by double clicking it.

3. Select the cells you want to count (tip: click on the letter / number of the column / row to select the whole column / row).

If the cells do not contain numbers, you can do this by manually inserting row / column numbers.
  1. Insert number 1 to the first row / column.
  2. Select the cell by clicking it, move your mouse to the bottom right corner of the selected cell (there is a little black box in the corner).
  3. Press down control / ctrl button on your keyboard and start dragging to the direction you wish to count.

Formatting area as table

1. Select the data area, be careful not to select any unwanted cells (tip: click in any cell that contains data and press ctrl + a simultaneously to select the whole data area. This makes a selection of only the cells that contain data).
2. Go to home tab and select format as table and choose any the style you wish for the table.

3. Click in any column letter or row number of the table and you will see the number of rows containing data at the bottom  of your Excel window.

  6. The instructions in this article only shows the count of rows with data. It does not tell you the count of physical rows in the spreadsheet.
